Identifying your resources


Consider the festival you are planning to stage and answer the following questions:

Where will your festival take place?
The festival will take place in Central Foundation Girls school on a Saturday in CTC Site.

What equipment do you need?
There will be a lot of equipment needed like sound equipment, amps, music instruments, microphones and speakers.

Will also need Cameras, seating area, bouncy castles, archery, ambulance, dance room, food room, artefacts, nail varnish for the professional that are coming in, Workshops, and the normal equipment that is needed for any event which will be table and chairs and helpers.

What materials do you need?
Some artefacts are going to be made for the festival because posters will be needed for the promotion and also leaflet to give out to the local area people; they will both be made on the computer and designed our self.

Who will be contributing to the festival events?
We will need help from our teachers to get all the organisation right E.g. bouncy castles. We will also need help from the music technician, teacher helper person to set up and organise the band.
And we need all of our Creative and Media teachers there to support us.

Considering the nature of your resources
Carry out an audit of the resources required for the setting up and running of your festival.


Your audit should consider:
1 Facilities, spaces and venues:


a) Consider the size and shape of each space you intend to use.
We will need a big space as there will be a lot going on, maybe our school so we could use the outside as well.


b) Is it specialist space e.g. a theatre space or simply a ‘room’?
It should just be a hall space; everyone could fit into it with the different things that will be going on.


c) How might the space be adapted for your use?
It may be adapted by giving me a section to do the photography of people.


d) What health and safety issues need to be considered?
If it is done in the hall, then there will be 3 different fire exits, everyone should be fine if they remain quiet and calm. And to maximum room capacity as it is a big place they should be letting in no more than 600 people.

2 Equipment:
a) Is all the equipment needed available or will you need to borrow or hire some items?
All the equipment is available but has to be borrowed from the school and the teachers, but the bouncy castles have to be hired, as well as the ambulance.


b) Who will set up and/or operate the equipment?
The Creative and media students will be setting up the thing that they will be needing, but mostly the different workshop people will be setting up themselves, but we will be helping as much as we can using the equipment.

c) What health and safety issues need to be considered?
The health and safety issues that need to be considered is the heavy lifting of chairs, tables, amps, music instruments etc. so if it is to heavy then you need someone to help carry things in.


3 Materials:
a) What is your budget for materials?
Ben Cole is sorting out all the budgeting; if we need something then we will go to him and see if it is a reasonable price.


b) How will you use your budget to best effect?
We will look for different offers so we can get more stuff if we get a better offer.


4 Human resources:
a) What are the strengths of the people on your team?
There are lots of strengths of people from this team as some are very organized, creative, brainy, helpful etc.


b) How can you ensure that everybody understands their role and responsibilities in the setting up and running of the festival?
To make sure everyone has a role and is getting involved.

6.4 Review on festival

Review on Festival

Our festival was a success; we got our targeted audience, reasonable amount of people, different workshops, and different activities and had a lot of helpers. So everything went pretty much to plan.

My contribution to the festival was giving ideas for what themes to do, gave out leaflets in my free time (handed them out to a primary school, casual people walking down the road and to shops) I also was in charge of the ‘Photo Booth’ room, I had to take pictures of people that wanted them, it was very good as I got to take more then 67 pictures of different people.


In the room that I was working in I had to set the background up and the tripod, also made a table on paper so people can write there name down, how many pictures they want, what number they are and there email address so I can now later send them the pictures once I upload them. It went well as it was a good idea, made sense and was a lot less complicated then one of our other ideas which was to put the pictures on a website but for illegal reasons we couldn't do that, so sending them by email will be much easier and wont cost anything.

The work was quite tiring as I was on my feet all day and did’nt have a break, but I got feed back from a teacher that I was doing well, which I did as I got a lot of people pictures that they was happy with. I was also making everyone feel comfortable, as some people are camera shy so I was just making them laugh, I was polite as well to all the customers, and made sure everyone was having a good time, and knows where to go at what time for different things.

My job was to help who ever needs it and to take the photos, but the other thing that was on offer was the expedition on our art work on Clay pots from the whole creative and media group, nail workshop, face painting, dance sessions, food room, music, singing performers, band performers, games, prizes, bouncy castles, archery etc.

We also thought about safety so we had an ambulance in the playground just in case something happened.

Overall it was a great success, everyone seemed to be enjoying themselves and having a laugh, everyone’s jobs got done and helped out as much as they can to keep everyone happy.
